Article X. District Publications and Materials

Section 1. The following publications are developed for use in the Texas-Oklahoma District. They are the property of the Texas-Oklahoma District and for the sole use by its members, chapters and sponsoring Kiwanis clubs, and may be duplicated. These publications may include, but are not limited to:

• 1. The District Bylaws

  2. The District Policy Code

  3. The District Directory and Guidebook

  4. Chapter Report Forms

  5. Delegate Certification Form

  6. District Code on Contests and Awards

  7. District Candidacy Packet

  8. The Texas-Oklahoma Today (T-O Today)

  9. Committee Chair Applications

  10. Long Term (Strategic) Plan

  11. Any Materials in District Mailings

Section 2. Other manuals explaining the various aspects of CKI and the Texas-Oklahoma District shall be compiled as deemed necessary by the District Board of Officers. The Governor may assign either an individual or a committee to prepare a manual. 

Section 3. Requests for district literature or other materials available from the Texas-Oklahoma District shall be made through any District Officer and the materials shall be provided free of charge in reasonable quantities as dictated by financial constraints. 

Section 4. The District Board of Officers is responsible for maintaining all district publications. The Governor shall appoint a board member to revise any of these publications if a board member has not already been charged with the task as defined in the current policy code or bylaws.

Section 5. The T-O Today should be published no fewer than four (4) times a year. 

Section 6. The Governor and/or the Secretary, with the advice of the Administrator, shall set all the distribution and publication deadlines. 

Section 7. Website Policy

• 1. The Public Relations and Marketing Committee Chair and Administrative Webmaster are responsible for maintaining the T-O CKI Website. 

  2. The content of the website should include: 

     1. Current board member information

     2. District and Divisional Event Details

     3. Links to major events (i.e., Fall Retreat and District Convention)

     4. Divisional pages listing chapters in the division and other divisional information

     5. Governing Documents (read only form)

     6. Board meeting agenda points and actions taken (read only form)

     7. A link to the Texas-Oklahoma Kiwanis District website

     8. A link to the Circle K International website

     9. A section describing what CKI is

     10. District Goals

     11. CKI service initiatives and/or partners

     12. T-O Today Publications

  3. The website should be updated as needed and all information on the website should be current (within at least a month). All postings and updates to the website can be removed by the Governor and Administrator(s).

  4. All members of the CKI District Board consent to have their name, picture, and contact information posted to the website. All officers of clubs within the T-O District shall approve or deny consent to post names, pictures, and contact information on the COCRF. Attendance by any person at District and Club events and/or submission of information may indicate approval to use pictures and names on the website. 

  5. The email address of the webmaster and a disclaimer of Kiwanis liability for the content on the website must be on the bottom of each page on the website. 

  6. Under no circumstances shall there be any alcohol, drug, or sexual references on any page or link attached to the T-O CKI website. 

  7. The Public Relations and Marketing Committee Chair, Governor, and Administrator(s) have the authority to shut down any link or member account on the website that does not conform to this policy. 

  8. Only the Public Relations and Marketing Committee Chair, Governor, and Administrator(s), or designate of the Administrator may post or make changes to the T-O CKI website.
